Temporary Program and Events Coordinator

Position Summary: Working closely with the Executive Director and the Program and Strategy Director of the FXB Center for Health & Human Rights, the Temporary Events and Program Coordinator provides administrative, logistical, and operational support for the Center’s educational programs, conferences, seminars, and day-to-day operations. This position plays a key role in planning and executing events, coordinating with internal and external stakeholders, managing complex logistics, and ensuring the smooth operation of Center activities. The role begins as part-time (up to 14 hours per week) to support transition activities, event planning, and ongoing program operations. Beginning in January 2027, the position will transition to full-time (35 hours per week) for approximately six months to provide parental leave coverage. Following the full-time appointment, there may be an opportunity to continue, depending on departmental needs and available funding. Please note this position is hybrid requiring at least 50% of the time in person at the FXB Center.

Key Responsibilities
Events and Program Support

• Assist in the coordination and management of logistics related to the FXB Center’s two flagship child protection programs: The Child Protection Certificate and the G. Barrie Landry Child Protection Professional Training program.
• Organize community-wide events and webinars for the FXB Center as needed, including venue reservations, catering, travel arrangements, speaker coordination, registration management, event materials, and post-event evaluations.
• Create flyers and graphics for events as needed.
• Serve as the lead logistics coordinator for the April 2027 Roma Conference, acting as the primary administrative contact for speakers, panelists, invited guests, and attendees.
• Assist in the coordination of speaker invitations, travel, accommodations, contracts, honoraria, catering, audiovisual support, transportation, volunteer coordination, and other conference logistics for events and programs as needed.
• Track participation and event metrics to support program evaluation and future planning.
• Negotiate hotel room block agreements and other event-related vendor contracts as appropriate.
• Provide website updates and online event support using WordPress and other web-based platforms as needed.

Center Operations
• Provide day-to-day operational support for the FXB Center, including office supply management, printer and copier coordination, shipping and mail services, conference room scheduling, and other administrative needs.
• Coordinate logistics for visiting guests, including visitor access, meeting space reservations, parking, and related arrangements.
• Assist with purchasing and other operational activities in accordance with Harvard policies and procedures.

Requirements
• Knowledge of WordPress, Canva, Word, Excel, PowerPoint required.
• Familiarity with Canvas a plus.
• Strong attention to detail and ability to work independently.
